1. Information We Collect
We collect information you provide directly when you create an account or use AuditFlow:
- Account information: name, email address, company or organization name
- Audit data: property details, irrigation zone configurations, findings, repair notes, and historical records
- Photos and media: images attached to findings and audit reports
- Integration credentials: encrypted API keys and webhook URLs for connected services
- Usage data: actions taken within the application (audits created, reports exported, etc.)
2. How We Use Your Information
- To provide, operate, and improve the AuditFlow platform
- To generate audit reports and export documents on your behalf
- To send service notifications (account approval, password changes)
- To troubleshoot issues and provide customer support
- To comply with applicable legal obligations
3. Data Security
All data is encrypted in transit using TLS and encrypted at rest using AES-256. Integration credentials (API keys, webhook URLs) are stored with additional application-level encryption. We use JWT-based authentication with token revocation, rate limiting, and tenant-level data isolation to protect your account.
4. Data Sharing
We do not sell, rent, or share your personal information with third parties for marketing purposes. Your audit data is only shared with the third-party integrations you explicitly configure and authorize (Slack, Monday.com, ClickUp, Basecamp). We may share information when required by law or to protect the rights and safety of users.
5. Data Retention
We retain your data for as long as your account is active. If you delete your account, your data is permanently removed within 30 days, except where retention is required by law. Audit reports you have downloaded or shared remain in your possession.
6. Your Rights
You have the right to:
- Access the personal information we hold about you
- Request correction of inaccurate data
- Request deletion of your account and associated data
- Export your audit data in a portable format (Excel or PDF)
7. Cookies
AuditFlow uses only essential session cookies and browser localStorage to maintain your authentication state. We do not use tracking cookies or third-party analytics.
